Applies to ajivasan.com, the Ajivasan App, online and in-person classes, and the Shop, for students in India and worldwide.

1. Who we are

This website and our services are operated by SURESH WADKARS MUSIC AT AJIVASAN PRIVATE LIMITED, registered office at B6, Mayfair, S.V. Road, Bandra West, Mumbai, Maharashtra 400050, India ("Ajivasan", "we", "us"). We decide how and why your personal data is used, which makes us the data controller (or "data fiduciary" under Indian law).

For any question or request about your data, email support@ajivasan.com. We aim to reply within 30 days.

2. Information we collect

Student and parent details: names, date of birth, phone, email, postal address, country, time zone — from enrolment and registration forms.

Enquiry details: name, phone, email and message sent through "Request a Call", contact forms, WhatsApp or email — from you when you contact us.

Academic records: attendance, progress reports, grade levels, exam entries and results — from our teachers and exam bodies.

Payment information: amount, currency, transaction ID, invoice and payment history; bank details only where you ask for a refund by bank transfer — from you, PayU and Razorpay. We never receive or store your full card number, CVV or UPI PIN.

Account data: login details for the Ajivasan App and MCB (My Class Board) — from you when you create an account.

Class media: photos and videos of classes, workshops and events; recordings of online classes where recording is enabled — from our staff, with the consent described in Section 6.

Website and device data: IP address, approximate location, browser and device type, pages visited, referring ad or link — automatically, through cookies and similar tools (Section 5).

3. How we use your information, and our legal basis

Visitors in the EU, UK and similar regions are entitled to know the legal reason for each use. We use your data only for the purposes below.

Enrolling students, running classes, scheduling, progress tracking and exams — performance of our contract with you.

Taking payments, issuing invoices and processing refunds — contract, and legal obligations (tax and accounting).

Class schedules, holiday notices and urgent updates by WhatsApp, email or SMS — contract.

News, offers and event announcements (marketing) — your consent, which you can withdraw at any time.

Website analytics and advertising on Meta and Google (Section 5) — your consent, given through our cookie banner.

Keeping our platforms secure and preventing fraud — legitimate interests.

Responding to lawful requests from authorities — legal obligation.

We do not sell your personal data.

4. Payments through PayU and Razorpay

We use two payment gateways. Payments from students in India are processed by PayU (PayUmoney), operated by PayU Payments Private Limited. Payments from international students are processed by Razorpay Software Private Limited. Your card, UPI, net banking or international payment details are entered on the gateway's own secure checkout and handled under that gateway's privacy policy (payu.in for PayU, razorpay.com/privacy for Razorpay). We receive only the confirmation details needed to record your payment, such as the transaction ID, amount, currency and status. International card payments may be routed through card networks and banks outside India.

5. Cookies, analytics and advertising

We use cookies and similar technologies to run the website, understand how it is used, and promote our courses. These tools include:

  • Essential cookies: needed for login, checkout and security. These are always on.
  • Google Analytics: measures visits and how people use the site.
  • Google Ads: measures which ads lead to enquiries and shows our ads to people who have visited our site (remarketing).
  • Meta Pixel (Facebook and Instagram): measures ad results and lets us show our ads to past visitors and similar audiences.

Analytics and advertising tools load only after you accept them in our cookie banner, where this is required by law. You can change your choice at any time through the "Cookie settings" link in the website footer. You can also manage ads through Google's Ad Settings (adssettings.google.com), Meta's Ad Preferences, or your browser's privacy settings.

California residents: sharing data with advertising platforms for targeted ads may count as "sharing" under California law. You can opt out by declining advertising cookies in the cookie banner or by emailing support@ajivasan.com with the subject "Do Not Sell or Share". We honour Global Privacy Control signals.

6. Photos, videos and class recordings

As a performing arts academy we photograph and record classes, workshops and events.

We use a student's image in promotional material (social media, brochures, website, ads) only with permission, given by the student, or by a parent or guardian for students under 18, on the enrolment form.

You can withdraw this permission at any time by emailing support@ajivasan.com. We will stop new use; material already printed or published may take time to remove.

Online class recordings, where made, are used for teaching and quality review, shared only with the student and our faculty, and kept as set out in Section 10.

7. Children's privacy

Many of our students are under 18. For these students:

  • Enrolment must be completed by a parent or legal guardian, who gives consent for the child's data to be used as described in this policy.
  • We do not use children's data for targeted advertising or behavioural tracking, and our online ads are directed at adults.
  • Our website is not designed for children to use alone. If we learn we have collected data from a child without parental consent, we will delete it.
  • Parents may review, correct or ask us to delete their child's data at any time.

8. Who we share data with

We share personal data only with service providers who help us run the Academy, and only as much as they need:

  • Payments: PayU (PayUmoney) for payments in India, and Razorpay for international payments.
  • Enquiries and lead management: LeadSquared.
  • Student management and communication: MCB (My Class Board), Zoho, WhatsApp Business, and our email provider.
  • Online classes: Zoom and Google Meet.
  • Website, analytics and advertising: our hosting provider, Google and Meta.
  • Examination bodies: when a student is entered for a certified music or dance examination.
  • Authorities: when required by law, court order or to protect safety.

9. International data transfers

We are based in India and your data is stored and processed in India. Some of our service providers, such as Google, Meta and Zoho, may process data in other countries, including the United States. Where the law of your country requires it, we rely on safeguards such as the service provider's standard contractual clauses to protect data sent outside your country. By enrolling from outside India you understand your data will be transferred to India.

10. How long we keep data

Student records (active students): for as long as the student is enrolled.

Student records (inactive students): 3 years after the student's last class, then deleted or anonymised. You can ask us to delete them sooner. Access to our digital platforms is disabled once a student becomes inactive.

Payment and invoice records: 8 years, as required by Indian tax and accounting law.

Enquiries that did not lead to enrolment: 12 months from your last contact with us, or sooner if you ask us to delete them.

Marketing contacts: until you unsubscribe or withdraw consent.

Class recordings: 90 days, unless kept longer for an exam submission with your agreement.

Website and advertising cookies: as set out in the cookie banner, generally up to 13 months.

11. Your rights

Depending on where you live (including under India's Digital Personal Data Protection Act, 2023, the EU/UK GDPR, and US state laws such as California's CCPA), you may have the right to:

  • know what data we hold about you and get a copy of it;
  • correct inaccurate or incomplete data;
  • ask us to delete your data, where we are not required to keep it by law;
  • receive your data in a portable format;
  • object to or restrict certain uses, including direct marketing;
  • withdraw consent at any time, without affecting earlier lawful use;
  • opt out of targeted advertising or the sale or sharing of data;
  • nominate another person to exercise your rights if you die or become unable to (India);
  • complain to your local data protection authority.

To use any of these rights, email support@ajivasan.com from the email address registered with us, or tell us how else we can confirm your identity. We will not charge you or treat you differently for using your rights. We respond within 30 days, or sooner where local law requires.

12. How we protect your data

  • Our website and payment pages use HTTPS encryption.
  • Access to student data is limited to staff who need it for their work.
  • Digital ID cards and student portals are available only to active students; access is removed when a student withdraws or completes a course.
  • We choose service providers that follow recognised security standards.
  • If a data breach is likely to affect you, we will notify you and the relevant authorities as required by law.

13. Marketing messages

We send promotional messages only if you have opted in. You can unsubscribe using the link in any email, by replying "STOP" on WhatsApp, or by emailing support@ajivasan.com. Class-related service messages will continue while you are enrolled.

14. Changes to this policy

We may update this policy when our services or the law change. The "Last updated" date at the top shows the latest version. For significant changes we will notify enrolled students by email or WhatsApp.
